*, is actively seeking an Office Administrative Assistant with work experience.
The Office Administrative Assistant is generally responsible for directing phone calls, responding to inquiries, and managing meeting schedules.
The Administrative Assistant performs general clerical work for the office, creates and maintains recordkeeping systems, schedules appointments, and facilitate communication with clients.
*Responsibilities:*
* Processes incoming/outgoing mail
* Prepare outgoing courier packages
* Receive/open and distribute all incoming courier packages
* Distribute customer purchase orders
* Transmission of faxes
* Create and maintain letter files/follow up files/job files (both electronic and hard copy)
* Answer and direct ALL incoming phone calls
* Prepare letters and memos for Accounts/Projects Managers and Operations team
* Update job file and drawing databases
* Enter purchase orders
* File all correspondence e-mails
* Review, edit, and issue documents such as proposals, internal instructions and reports.
* Take minutes for operations meetings
* Make copies of documents when requested
* Manage the phone system
* Prepare invitations/agendas/and board room for board meetings
* Prepare documents for Criminal Record Checks
* Prepare customs documents for across border shipments
* Prepare reports for Employee overseas travel and submit to HR.
This includes Canadians traveling to US.
* Collect Employee vacation and absence schedules from staff Managers and submit to HR.
*Qualifications:*
* General office and computer skills – MS Word, Excel, Outlook and web browsers
* Knowledge of business terminology and general business practices/procedures
* Document review, correcting, editing, formatting
* Excellent communication skills both verbally and written
* Ability to work independently or as part of a team
* Able to deal effectively with people and to maintain effective working relationships with other employees
* Ability to understand and carry out instructions
*Education:*
* High School Diploma
