* *Watertown office hours:* *Monday: 7:30 am to Noon* *Tuesday: Office Closed* *Wednesday: 7:30 am to 5:30 pm* *Thursday: 7:30 am to 5:30 pm* *Friday: 7:30 am to 5:30 pm* *Job Summary*: Provide support and administrative assistance to physicians and staff to ensure the smooth and efficient operation of the office, as well as perform routine clerical duties including answering phones/taking messages, scheduling appointments, greeting patients, processing forms, maintaining patient medical records, collecting co-payments, and collecting patient balances.
Project a professional and positive image through in-person and phone interactions.
*Essential Job Duties and Responsibilities: *(Additional duties may be assigned) * Answers busy phones within three rings in a professional, friendly manner, identifying self and offering help.
Facilitates timely processing of calls by managing the call based on office protocols.
* Immediately responds to patients at the checkout/in windows in a positive, friendly, helpful manner.
* Ability to assess phone conversations to determine the appropriate action to be taken through scheduling patients, documenting the message or by contracting the clinical team for support.
* Connect on call - verifying on call messages.
* MDI – check messages for physicians on a daily basis.
* Responsible for Lean Teams - assuring Drs schedule is correct throughout day.
* Accurately documents clinical messages, verifying the spelling of the patient’s name, phone number and date of birth.
Uses clinically appropriate language.
* Uses the patient’s date of birth to look up the patient’s account to ensure patient accuracy and privacy.
* Uses full spectrum of Protected Health Information (PHI) as required accomplishing work assignments.
Disclosed PHI only as necessary according to practice policy.
* Follow established scheduling protocols and directs clinical concerns to appropriate staff members for triage when necessary.
* Demonstrates computer skills to accurately maintain and develop an understanding of appropriate scheduling protocols based on established policies.
Responds to all system alerts.
* Performs automated and manual patient eligibility checking and documents results.
* Uses the E-paces program to identify Medicaid eligibility and other insurance coverage.
* Confirms all patients’ demographic information for accuracy, including address, phone numbers, and insurance information and co-pay amounts upon patient arrival.
* Document all payment collected on daily cash log.
Responsible for producing a computer-generated receipt for all transactions.
* Responsible for balancing daily cash log and reconcile all payments received.
* Generates no show and recall letters for patients on a daily basis.
* Maintains the patient appointment reminder system.
Runs daily reports, manages the call logs and ensures patients have been contacted two days prior to appointment date.
* Schedules outside testing, specialist referrals and follow-up appointments as required.
* Copies/faxes charts as requested for surgical procedures and referral appointments.
* Attends practice sponsored training on Compliance, HIPAA, and OSHA as required.
* Utilizes work time effectively and efficiently.
* On rotating basis, required to remain in office (reception desk) until last patient leaves.
* Is punctual for work as assigned, arriving and clocking in at scheduled work time.
*Supervisory Responsibilities:* This position does not have any supervisory responsibilities.
*Education and Experience:* HS diploma or GED required.
Two (2) years’ healthcare receptionist experience required.
Associates degree or certificate from medical assisting or secretarial program preferred.
Experience in personal computer environment.
Equivalent combinations of education and work experience will be considered.
*Equipment, Machines and Software Used:* Ability to operate a computer, printer, telephone, fax machine, photocopier, and postage meter.
_Computer Software: _Medent, Allscripts, MDI, Microsoft to include Outlook/Express, Excel and Word.
*Knowledge, Skills, and Abilities:* Computer proficiency includes word processing, data entry, spreadsheets, and generating reports using standard software applications.
Demonstrates professional appearance, manners and decorum.
Maintain a positive relationship with patients, physicians and other staff.
Is conscientious of other people’s feelings and rights.
Is always polite.
Ability to maintain patient confidentiality.
Good communication skills including verbal and written communications.
Ability to multi-task.
Ability to work in a fast-paced environment.
Strong interpersonal and communication skills and the ability to work effectively with individuals at all levels of the organization structure.
Some analytical ability to gather and summarize data, find solutions to various administrative problems, and prioritize work.
Skill in organizing and establishing priorities.
Ability to create, compose, and edit written materials.
Must be detail-oriented and well organized.
Ability to maintain accurate records and data files.
Ability to gather data, compile information, and prepare reports.
*Physical and Mental Requirements:* Ability to sit, stand, walk, talk, hear, use hands to finger, grasp, handle or feel, crouch, bend or kneel, and perform repetitive motions of the hands and/or wrists.
Ability to exert up to 30 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
Close mental and visual attention required to perform a wide variety of tasks dealing primarily with operating a multi-line telephone, using a computer terminal, and filing/sorting.
