*Program Assistant*
Classification: Non -exempt
Supervision: Reports to the Executive Director
Works Closely with: All staff
*Responsibilities and Tasks:*
The Program Assistant will perform the following general duties:
* Answer phones, route calls to appropriate staff or refer to other community services, as needed.
* Send out applications for assistance to any program and assist with maintaining waitlists.
* Perform necessary clerical duties, including but not limited to: typing, database management, filing, records management, and quality improvement internal audits.
* Assist with and maintain annual employee performance requirements.
* Assist with tracking and creating employee training and development initiatives.
* Prepare and maintain program performance logs and program spreadsheets as needed; to include maintenance repair logs.
* Schedule routine maintenance of all properties with outside vendors, maintain contact list for each property and communicate outcomes with property management staff.
* Assist with income certification of program participants for all programs.
* Assist with developing and maintaining tracking records for required monthly/annual reports.
* Assure compliance with all government regulations including Fair Housing Law, Equal Employment
Opportunity, OSHA and ADA.
Discrimination is prohibited.
* Assist with bookkeeping duties as needed, including but not limited to, QuickBooks, general ledger, cash disbursements journal, and cash receipts journal.
* Assist with monitoring and preparing vouchers for program billing.
* Prepare administrative performance reports, as needed.
* Assist with preparing year-end audit package for annual audit and assist auditors as requested.
* Other duties as directed by the Executive Director.
*Qualifications:*
The Program Assistant shall:
* Associate degree or equivalent experience in business.
Minimum 3 years’ experience and high school graduate/equivalent education required.
Must have good written and oral communication skills.
* Proficiency with Microsoft Word and Microsoft Excel required.
* Have knowledge of basic office equipment, including computers, copier/scanner, and telephone system.
* Have the ability to work with limited supervision.
* Have the ability to work well within a team environment.
